Policy for Exchange / Study Abroad

Definitions:

The distinction between study on exchange and Study Abroad is an important one.

Principles:

  1. The Faculty grants equivalent Monash credit (specified or unspecified) for equivalent Study Abroad work overseas.
    Students should receive full credit for approved programs undertaken overseas. Thus, for example:
    • If students successfully complete a full-time semester abroad, according to the requirements of the host institution, they should receive 24 credit points towards their Monash degree.
    • If students successfully complete an intensive 6-8 week summer program with contact hours and achievements similar to a two-semester sequence, they should receive 12 points towards their Monash degree.
    • Students should receive a minimum of 12 points for a full semester of Language Exchange/Study Abroad. Schools should ensure that the approved study plan matches as closely as possible Monash requirements for assessment and contact hours
  1. Students may receive a maximum of 24 points in one discipline and 48 points overall towards a (three-year) pass degree in the Faculty of Arts for a Monash-approved Study Abroad program. Students are allowed further credit for Study Abroad in their honours year.
  1. If a Faculty major has a component that must be completed at Monash, the School must clearly communicate this requirement in the Handbook at least a year in advance. Note: such a component must not exceed six points.
  1. Students must make arrangements for proposed credit before they go abroad and obtain written approval from the Faculty and the relevant School(s). Any variation to this arrangement while the student is away must be approved in advance by both the School and the Faculty. There is no guarantee that variations made without prior approval will be accepted, and students should be informed of this in writing.
  1. If Monash University staff wish to evaluate any work submitted for Exchange/Study Abroad credit or to make the amount of credit granted
    for Exchange/Study Abroad dependent on a particular level of performance, such requirements must be communicated to the student in
    writing before the student goes abroad.
    The amount of credit and any conditions must be clearly indicated (for example, submission dates, if a clean copy is required, etc)
  1. Schools must ensure that students are fully informed of the nature and likely level of the costs they will incur.
    It must be made clear, in writing, whether the student is responsible for tuition fees to the host institution or will pay HECS. Responsibility for the cost of travel, books, and any other foreseeable expenses must likewise be made clear.
  1. Schools must ensure that students are informed of the impact of their Exchange/Study Abroad on any Centrelink payments they receive.
    Centrelink require students to be enrolled full-time in order to receive Youth Allowance and certain other entitlements. Full-time is defined as at least 18 points in first semester and at least 18 points in second semester. If the overseas study brings students below this level, they will not receive payments.
  1. Students must be informed, in writing, of what will appear on their academic transcript.
    In particular, students should be informed if no grade will be granted: the transcript will read PGO (Pass Grade Only) or SFR (Satisfied Faculty Requirements).
  1. A single person in each School, either the undergraduate or Honours coordinator or a specially-appointed Exchange/Study Abroad co-ordinator, should sign all approvals of overseas study arrangements. When an inexperienced Study Abroad co-ordinator is appointed, this person must be mentored for at least one semester by an experienced Study Abroad coordinator, preferably but not necessarily within the same School.
